The statement report has to be run prior to Debtors month end to report on the correct aging (Current, 30days, 60days 5 90 days). Statements are printed for a division and will include all department invoices within each division. After entering the details below press the "Run Report" button to activate the report. During the report each debtor is reconciled to match the entries on the statement and the account balance in the debtors master file and the account balance in the debtors details file as well as matching the total statement balance with that in the debtors account in the general ledger. Therefore post batches in the general ledger before running statements. It is usual to print an Aged Trial Balance before printing statements.
Report Date: The default report date is to days date. If the month end has been delayed into the next month then enter the last day of the month to get the correct aging.
Last Run: This is the last date the statement were reported.
Time: This is the last time statements were reported
Re-Age documents: Select Re Age Documents to initialise the details in the debtors_aging file prior to running the report. If a different report is required e,g for a selected debtor and no debtor transactions have been entered the deselect the Re Age Documents and the details will be extracted from the existing debtors aging file. Also if another statement is required after month end (Reprint) then deselect the Re Age Documents to print statements using the preselected details.
Weekly Statements: Select Weekly statements to age weekly and report on those debtors marked as weekly as their statement type.
Fortnightly Statements: Select Fortnightly statements to age Fortnightly and report on those debtors marked as Fortnightly as their statement type.
Debtor No: Select a debtor no if a statement is to be displayed on the terminal. If left blank then the statements must be printed and not displayed on the screen.
Division: Double click on division to select an existing division. Leave the division blank to print statements for all division.
Output: Select the default output to use the statement option as defined in the debtors master file otherwise select another option (Print) to print all statements.
Style: If the default output is selected then the style will be ignored as per default option above. If another statement style is required then change the output and select the style required.
Weekly Statement: If reprint a weekly statement the the Weekly Re Age Documents must be run first, then deselect the Re Age Documents to display the statement on the screen.
Monthly Statement: This type of statement has an opening balance and all the transaction for the month including invoices and payments and a closing balance.
Summary Statement: This type of statement only report on outstanding invoices and credit notes without payment/receipt details for the current period.
Detail Statement: This type of statement to report on all invoices and credit notes stored in the current database. The invoices included in this statement are controlled by the number of transaction years as per general ledger group master file.
Transaction Statement: This type of statement to report on all transactions for the current period.
Fortnightly Statement: If reprint a weekly statement the the Weekly Re Age Documents must be run first, then deselect the RE Age Documents to display the statement on the screen.
